Vendor Load-in // Load-out // booth layout Information
Venue: oneC1TY
THE YARD: Use “8 City Blvd Nashville, TN 37209” for most accurate load-in location
Our event will take place in The Yard (beside Element Hotel and behind TOA/Microsoft building) and the event area will have all of our event activations including sponsor booths, stage with music, food trucks, bars, restrooms, seating areas and more.
We will assign your booth location and load-in time with a randomized selection to not have too many “like product” vendors in the same section, and to have no more than 5-6 vendors loading in at the same time per load-in zone.
SATURDAY July 8— LOAD IN — Vendors will be assigned a load-in time, staggered between 1:30PM and 3:00PM. All vendors must be set and ready to go by 3:45 PM. Please reference the load-in schedule and maps to find your load in time, booth number and load-in zone. It is very important that all vendors and sponsors arrive at their scheduled load-in time and KNOW YOUR BOOTH NUMBER AND WHICH ZONE YOU ARE IN! This will allow for a painless process for all and not overcrowd any certain load-in areas as there is VERY LIMITED street parking/parking for load-in.
Your load-in time is based on your booth spot in the event space and so that there are not too many vendors loading in at any given time to try and avoid crowding and allow for an easy process. PLEASE MAKE SURE TO FOLLOW INSTRUCTIONS AND LOAD-IN AT YOUR DESIGNATED ZONE. There will be event volunteers on site, but be prepared to load in your set up, as help will be limited. You must provide your own personnel and equipment for load-in and display set-up (including hand trucks, carts, dollies, etc.). Please unload quickly, park your vehicle in our vendor parking lot and then return to set up your booth.
BOOTH LOCATION is based off if you have requested access to power, and has been thoughtfully selected so no two-like vendors are directly next to each other (jewelry, home goods, etc). This is based on what you submitted as your Primary Category when registering, so keep that in mind! If you have concerns about your booth location, you’re welcome to reach out but please understand changes are not guaranteed.
LOAD OUT — begins immediately following the event at 9:00 PM. All items must be completely removed by 10:00 PM and cannot stay overnight. This includes all props, materials, and decorations. Anything left behind will be thrown away. Please be mindful of other vendors who are all trying to load out at the same time and parking spots at load-out will be limited. We will have volunteers and staff to assist if you need it!

Parking
Parking is $3 at Crafty Bastards. There is a NEW vendor specific lot we will be requiring all vendors and event personnel to park in to allow for ample parking for ATTENDEES. Please DO NOT PARK IN THE ONEC1TY GARAGE OR STREET PARKING. This only takes away free parking for guests which makes them annoyed and less likely to spend money with you ;)
The VENDOR LOT is located right across the street with the entrance off the 28th/31st connector and City Blvd. If you are familiar with Nashville, it is the large HCA lot most recently used as a COVID testing site (no longer active). MAP BELOW! We will have a parking attendant making sure only vendors are parking in this lot to make sure everyone has a space!
At the conclusion of load-in, please move your vehicle to our vendor lot! YOU MUST MOVE YOUR VEHICLE TO THIS LOT AFTER LOAD-IN. You are not able to leave your vehicle parked in the load-in zones as other vendors will need access to this space.
PLEASE BRING:
Everything that you need for your booth space! This includes a tent, REQUIRED tent weights (no stakes), tables, chairs, décor, goods for sale, a POS system, a wifi hotspot, load in gear, water, etc. If you need to newly order or change your order for a tent, table, and or chairs for your booth space please email us info@craftybastards.com
LIGHTING: Our night market is from 4-9pm and sunset is typically around 8pm so we will not have need for a LOT of lighting for the majority of the event, however we recommend vendors bring BATTERY POWERED LIGHTING for the last hour, and to make load-out easy. We will have STRING LIGHTS hung at the event and oneC1TY generally is a very well-lit area at night so guests can see but if you want dedicated lights WITHIN your tent, you must bring battery powered lights. Please note we CANNOT accommodate day-of power access requests to plug in lighting.
See TENT WEIGHT REQUIREMENTS
Please plan accordingly and bring appropriate tent weights/stakes to the event. See link above for tent weight requirements. There is a strict NO STAKING policy, and any vendors who do not have appropriate tent weights will NOT BE ALLOWED TO SET UP. We will not be able to provide weights for you on the day of the event, so plan ahead!
Please also bring any snacks/food/drinks you would like throughout the day. There are going to be food trucks/vendors onsite as well as a full bar. There are also a handful of restaurants that are located within the oneC1TY community including Sump Coffee, Pastaria, AVO, Koko’s Ice Cream and more. We do NOT have enough free bottled water for all vendors.
If you need a bathroom break or a food break, let us know and we can have a volunteer sit in your booth for you and keep an eye on your items while you take a break!
DO NOT BRING:
Do not bring outside alcohol of any kind. Glitter, confetti or the like are not allowed. oneC1TY is pet friendly but your pet must remain on a leash at all times and must not disturb other vendors or shoppers.
WIFI
WIFI is not provided by the venue. If you need wifi for your POS system you will need to bring a hotspot for this.
Electricity
If you did not request electricity in advance, you will not have it. If you have already requested electricity, please bring extra extension cords and a surge protector. Cords must not cross walkways unless covered by a cord cover or taped down, which you will need to provide.
Signage
Within your booth space, you may put up any signage as you see fit. You will need to provide zipties or string to attach it to your tent. Also, bring scissors to cut them down after the event. You may also bring your own easels or pop up banners if that’s easier.
Staffing
You are required to have your own staff man your booth.
COI
To protect yourself and your business, we recommend that all vendors be covered in the form of commercial general liability insurance, including but not limited to broad form contractual liability, personal injury liability, advertising liability, and products/completed operations liability coverage with minimum limits of liability of $1,000,000 each occurrence, $2,000,000 general aggregate. Vendors will preferably maintain workers compensation insurance in compliance with state statutory law during the dates they are working with the Festival, as well as AllRisk property insurance covering personal property owned, leased, rented, borrowed or used by Contractor for full replacement cost.
Tennessee Sales Tax FOR OUT OF STATE VENDORS
Out of state vendors need to add 9.25% sales tax to their sales. This will cover state and local sales tax for goods. in order to do so, click here to download the tax form! You will need our specific promoter ID and location ID which can be found on the middle of Page 2 of the attached.

Misc
Please be mindful of spills and messes, and keep your display area neat. It’s always best practice to return the space the way we found it.
weather
Crafty Bastards is rain or shine — but in the case of SEVERE weather (lightning, severe wind, etc) we will make a decision to adjust the time of the event or reschedule. We’ll contact all vendors via email with any updates regarding weather. PLEASE be aware that it may be windy and you must have appropriate tent weights.
This is our FIRST summer market and we anticipate it to be WARM! We highly encourage all vendors to bring battery powered fans, coolers with water and drinks iced down, sunscreen and bug spray to make their market experience enjoyable and battery powered fans will make your tent enticing to shoppers!
Restrooms
Restrooms are located inside the main TOA/Microsoft building and can be accessed through Sump coffee or the main lobby. We will also have portable toilets and handwashing stations available.
Tips & Tricks
Past vendors have been kind enough to share the tricks of the road. We’ve compiled them to give you a hand up when preparing for the event. If you have any advice you’d like to pass along, we’d love to hear! Email us at: info@craftybastards.com
The number one tip from vendors– Bring a helper! Load-in and load-out can be difficult and having an assistant can make all the difference. We’ll have volunteers to help, but don’t count on them being available at all times.
